Acceptance Level of DBMS in SMEs
Introduction
According to (Forcada, 2007), database management system is a package of software with programs of computer that control the maintenance, creation and the use of a database. This system allows firms to develop databases for different applications by administrators of database and other specialists. Examples of database management system include MySQL, Microsoft access, Microsoft SQL server, DB2 and File maker. Data collection managed by database management system is referred to as database and the DBMS and the database together within the programs of application that use the database, are all known as database systems. This paper will use journal documents in determining the use of BBMS in SMEs.
Literature review
According to (DBMS, 2010), the database management plays a great role in the success of small and medium enterprises. The foundation of system of information that is modern is the DBMS. The small and medium sized enterprises use database management system in definition of database, creation of database, retrieval, restructuring and revision of database, integrity control of database, monitoring of performance and changing the database contents.
According to (DBMS, 2011) the advantages of database is that it is useful in the management of information, it helps in the data sharing and the administration of data is centralized. By small and medium enterprises using DBMS, the data will be organized well and this reduces the redundancy. The other advantage id that DBMS helps the SMEs in producing answers that are quick for ad hoe query and this will help these enterprises in dealing with sales data that are in large amounts. This system also help these enterprise to having access to better and more managed data and this is helpful in making informed and quick decisions for fast response to environmental changes.
According to (DBMS, 2011) another advantage of DBMS to SMEs is that it provides independence of data. It is possible to store data in one location and accessed by various departments and systems and enables the sharing of data in database among many users or applications. Also, DBMS protects the SMEs from system failure effects and the interface which is of high level enables development that is quick of applications Businesses used tools that are conventional e.g. Microsoft excel to carry out the intelligence needs of their businesses. These tools would not the large information perspective within the firm and this is the reason for adopting the database management system.
Another reason for use of database management system is to reduce cost, to have user interfaces that are interactive and also the need for complex technologies for data analysis. According to (Nagraj, 2011) small and medium sized enterprises benefit from the use of database management systems by being able to improve the effectiveness of the organization, get content management solutions which are comprehensive, and also they are able to get the shared processes of business. This also helps them in mechanisms of agile sharing of information.
According to (Nagraj, 2011), small and medium enterprises use database systems which are used in several business applications. Most of these systems approach the system of ERP. SMEs use the federated ERP system which allows adaptive, variable or dynamic assignment of functions of business application to independent providers of software. By ensemble of subsystems that are standardized, the overall functionality is provided.
According to (Nagraj, 2011), small and medium enterprises require database system to improve their levels of penetration into new markets and also increase their efficiency of operations. These systems do not only improve processes efficiency but also act as enablers of business. The small and medium enterprises use database management system because it is cost effective .They also use technologies of share point and Microsoft business intelligence and all this has led to effiency in their operations.
Barriers in adopting DBMS in SMEs
One of the barriers in adoption of database management system in small and medium sized enterprises is the development of scale and the utilization correspondence. Also the huge undertaking makes the implementation of database management cumbersome. According to (Leigh, 2010), the barriers or challenges in the adoption of the DBMS by SMEs include considerations of cost/benefit, Organizational obstacles, and issues of networking and choice of technology. About the issue of networking, there are considerations which have to be made which is the difficulty in ensuring that the infrastructure is reliable and scalable.
According to (Leigh, 2010), the cost of implementing the DBMS in SMEs is very high and is a great barrier. The enterprises must convert to an environment that is digitized and so they must incur a lot of expenses. The costs are likely to reduce if the system is designed to the necessary requirements. Another challenge is the choice of the technology. The enterprises must choose a DBMS that meets individualized and customized needs. Choosing the appropriate DBMS is difficult and this is a barrier to its implementation.
Strategies to overcome these barriers
According to (Leigh, 2010), to overcome these barriers, the SMEs should look for finances to fund the implementation and they can do this by borrowing. Another strategy is use of appropriate training tools. They should train their employees effectively and this reduces the difficulty in the implementation of the DBMS. The SMEs should work towards fighting the reluctance to leave the old methods by employees. They should seek advice from experts on the proper choice of DBMS and through this they will be very ready in the implementation of DBMS.
