Brainstorming
Ory is a health care organization that has had problems in trying to keep records of its patients. The method of record keeping that the organization has been using for the past years has been paper work. There have been several disadvantages associated with this method of keeping records. This has affected the quality of care that the health centre has been offering its clients. Maintenance of the patient’s record is among the key problems that the organization has been facing because of the many loads of records that the staff has to maintain (Gasch, B & Gasch, A 2010). In order to try and solve this situation, the management of Ory health center has decided to implement electronic medical records that will assist in improving the quality of care that is being offered to patients. In order to do this, Ory health centre has decided to carry out a brainstorming session with the organization personnel. This session will involve planning, action, observation, and reflection.
Planning
During the planning session, the organization has to define the problem clearly so that to know what it is supposed to accomplish. When planning during the brain storming session all the organization staffs were involved. The doctors, leaders, administration staff, nurses, and other supporting staff were involved in this process. Every person was given a chance to provide their idea about this issue. It was extremely essential to involve every concerned member in this session, and allow each of them to contribute. This would help understand their perception about implementing this system in the organization. It is significant for a brainstorming session to be carried out by a team as it helps in generating ideas. Ideas can be generated that are half baked, but this can lead to original and new solutions to the problem. In this session, the topic that is to be discussed is the importance of implementing electronic medical records and the safety of the patients. Brain storming involves rapid generation of ideas, and every person had to discuss their ideas extremely fast. A time keeper was assigned who was responsible of starting the time where every person was given 5 to 10 minutes. The secretary stated the topic of discussion to the congregation in the form of a question where it was posted in front of the room where everyone would refer to it.
Action
After a prolonged period of discussion on how to implement the system, an EMR provider was selected, and the designation of an EMR manager was done. The purpose of this meeting was to discuss how the implementation process was to be help and who were to be responsible of this project. During this meeting, the members were also able to discuss and review some of the organizations that have implemented the electronic medical records and barriers that they had faced during the implementation process. This was important as the members were able to discuss how they would solve the situation in case they were faced with the same situation. Every member in the organization who was invited to attend the meeting was present except the finance officer. In meeting, the main agenda was discussed without any interaction. Every person participated appropriately and later come into a conclusion. There was the need to select a project manager, who was going to be responsible of the electronic medical record implementation process.
The project manager together with a team from various sectors of the staff in the organization was placed in charge of the implementation process. During the brainstorming session, an experienced electronic medical records consultant was invited so that to advise the organization on the implementation schedule of electronic medical records that will help the organization during the transition process. All participants were allowed to express their ideas no matter how far out or silly they seemed to be. There was no criticism or discussion during the brain storming session. All the ideas that were contributed by the participants were written down exactly as displayed and presented. There was a time limit for brain storming, and after the brainstorm; the list was read aloud to the participants so as to ensure that every member who had attended the meeting understood the ideas. The ideas were later combined so as to see if there were any to ideas that appeared to be similar could be combined.
Observation
After the brain storming session, it was observed that it was necessary to include two implementation specialist and a project coordinator. This was necessary because including specialists who have knowledge on how to implement a system in the organization would help to speed the process. It was also observed that every participant in the session understood what was being discussed, and they all had ideas of how the system would be implemented in the organization. They also understood how it would help improve the operations of the organization. It was also observed that involving the electronic medical record consultant was of enormous advantage. This is because he was able to inform the participants on how this process would help in improving their operations in the health centre, and how other organizations have benefited from this process. Every participant had a positive mind concerning the idea of the organization implementing the system into its operations. They were all prepared to assist in any process involving this implementation. The ideas that the participants contributed were of immense help since before the brain storming session, the organization management had tried to come up with ideas which they found out to be exceedingly difficult. The participant’s ideas were going to be exceedingly helpful during the process of EMR implementation. Every member appeared to be ready to adapt to change that was about to take place, after the system would be implemented.
Reflection
All personnel in the organization who had been invited to attend the meeting were all present apart from the organization finance officer. The finance officer was out for a conference therefore, during this session he was not around the organization. Despite the electronic medical record consultant discussing the cost that this system would cost the organization, the finance officer was not present to take down the estimates and provide his idea on how this would impact Ory health centre. It is therefore, important for the project manager to meet with the officer once he is back so that they can discuss this issue and also provide his idea about the issue. Apart from the absence of the finance officer everything went well as planned and the contribution of the participants was of immense advantage to the whole organization in planning for the implementation of EMR.
