After establishing the manual process operations, the IT team should evaluate the operations to see which activities could be eliminated with the sociotechnical system. Elimination of some of the process is to ensure shrinking of costs and more efficiency.


The institution should then ask itself the number of applicants that the system will serve. The system design team should consider the number of clients; the data base can attend to at once. This is for the purpose of eliminating system congestion when many applicants log in to the system; A system that does not consider the number of users may experience periodic system breakdowns due to overloading. The other question that the system design team should consider is the number of courses that the registration process will entail. This will help is designing the log in accounts of users. The accounts should have the maximum number of fields based on the maximum number of courses that an applicant can apply. After writing all the process and eliminating the non-essential ones, the systems coding can be carried out. After writing down the algorithms, conversion into machine language takes place. After the conversion, desk data can be used to test the workability of the system. After establishing the workability then, implementation follows.


The institution should choose between parallel running implementation processes, pilot implementation of phased implementation. Parallel running is where the old system runs hand in hand with the new system. Phased implementation is where the system implementation is in phases, i.e. some operation in the process are manual and some electronic. Pilot implementation is where there is departmentalization of the implementation; there is the selection of a department is for implementation, after establishing the system’s workability, then implementation occurs in the rest of the departments. Taking over the system at once may present difficulties in the future. After successful testing, the system can then be taken over in the whole institution. This can help the Palm Beach institution achieve substantial efficiency in terms of low costs and accuracy in the registration process.
